Share Google Calendar to stay organized

My son, Ian, has started playing baseball with other local children. As he gets older, he adds more activities to his plate. And of course, it’s my job to keep everything organized.

Many parents are in the same situation. You have to keep a tight schedule. But you also have to share that schedule with other parents. That way everyone can get together at the right time.



Google Calendar is a great way to do this. You can put their schedule on a calendar. And then it can be shared with anyone you choose. Unfortunately, Google Calendar isn’t the most intuitive program. So, I’ll walk you through setting it all up.

First, visit Google Calendar. Sign in with your Google account, if you have one. If not, create one for free.

When you sign in, you’ll be taken to your main calendar. You’ll want to create another calendar for sharing. Under “My calendars,” click Create.

Enter a name for the calendar and add a description. Make sure the Calendar Time Zone information is correct. Then, move down to the section labeled “Share with specific people.”

This is where you’ll give people access to the calendar. Under Person, enter a person’s e-mail address. You can adjust this person’s level of interaction under Permission Settings. You can allow viewing only, viewing and editing or total control.


Click Add Person to finish. Repeat for each person you want to share the calendar with. You may need to remove someone in the future. Just click the garbage can icon next to their e-mail address. Click Create Calendar when you are done.

Everyone you’re sharing with needs their own Google Calendar account. You’ll be prompted to invite anyone who doesn’t have an account. Just click Invite.

They’ll receive an e-mail with a link. They have to click the link and sign up for an account. Once signed in, a pop-up will ask them to add the shared calendar. They should click “Yes, add this calendar.” It will appear under “Other calendars.”

To set up events, click on a time slot. A pop-up box will let you enter a name for the event. Make sure you're adding it to the correct calendar, if you have more than one. Then, click Create Event.

To change the event, double-click it. You can change details, such as what and when. You can also add a description and reminders. All changes will be visible to everyone with access.
